4. Confidentiality and Informed Consent
Confidentiality is an essential part of the counselling relationship.
Information shared during counselling is treated as confidential, except in circumstances where disclosure is required or permitted by law.
These limits may include certain safety concerns, legal reporting obligations or valid legal processes, including court orders and subpoenas.
Before counselling begins, clients receive informed-consent documentation through Colib. This explains confidentiality, its limitations and other important aspects of the counselling relationship.
Some consent forms are required, while others are optional.
5. AI-Assisted Documentation
Bright Space Therapy may offer the use of AI-assisted tools for counselling notes or transcripts.
These tools are optional and require separate informed consent. Clients are provided with information about their use and can choose whether to consent.
Colib provides additional information about AI processing and privacy through its AI consent documentation.
Although Colib's primary data hosting is in Canada, some AI-related processing may take place in the United States, as explained in the applicable consent form.
6. How Your Information Is Stored and Protected
Bright Space Therapy uses Colib to manage appointments, client intake, consent forms, counselling records, payments and online counselling.
According to the information provided about Colib, its security measures include:
- Data hosting in Canada.
- TLS 1.2/1.3 encryption for data transmission.
- AES-256 encryption.
- Multi-factor authentication.
- Daily data backups.
These measures help protect sensitive client information from unauthorized access, loss or disclosure.
No electronic system can guarantee absolute security.
7. How Long We Keep Your Records
Counselling records are retained for at least seven years following the last date of client contact, in accordance with the professional record-retention requirements applicable to Bright Space Therapy.
Client records are legal documents and may be subject to disclosure under a valid legal requirement, including a subpoena.
